Privacy Policy and Protection of Personal Information
By the nature of our activities, GENDRON ASSURANCE understands the importance
of protecting the personal information collected in order to provide the
services offered for which they are necessary.
In accordance with the applicable legal framework, GENDRON ASSURANCE has put
in place a set of control measures and procedures aimed at ensuring sound
governance in terms of confidentiality and protection of personal information
that we hold on clients, prospects, partners as well as our employees.
By providing us with your personal information, you accept the terms of this
policy and authorize us to process your information in accordance with it.
Definition of Personal Information
“Personal or nominative information”: Is personal information, any information
that concerns a natural person and allows, directly or indirectly, their
identification[1].

Non-exhaustive examples: this information may be identity-related (e.g.: name,
address, telephone number, driver's license number), financial (e.g.: credit
card number), medical, related to professional activities (e.g.: employee
file), etc.
Consent
No information is collected by GENDRON ASSURANCE without the consent of the
client, the representative, or the prospect.
By providing us with your personal information, your consent is effective.
Therefore, you accept the terms of this policy and authorize us to collect,
retain, use, and disclose your information in accordance with the purposes for
which it was collected.
Right to withdraw consent for the use or disclosure of information
Subject to certain limitations, you may withdraw your consent to the
collection, use, and disclosure of your personal information. In these
circumstances, it may be possible that GENDRON ASSURANCE will not be able to
offer you the product, rate, or service requested for your insurance policy.

Collection and Use of Information
Only the essential information that we need is requested, and this in order to
respond to your request, examples are:
- Conduct a complete needs analysis for protection
- Provide an insurance quote for the requested product(s)
- Issue an insurance policy for this purpose, if applicable
- Pay for a purchased product or service
- Information via third parties
Concerned with protecting the personal information of its clients, GENDRON
ASSURANCE does not sell, collect, share, disclose to third parties, or make
public any personal information of its clientele, except with the aim of
fulfilling its service mandate, ensuring continuity of services to its
clients, or in the specific context of complying with a court order or
responding to an authorized government body.
In these circumstances, GENDRON ASSURANCE may eventually collect or transmit
information from legally authorized organizations and/or subject to the
applicable regulatory framework, or to specialized providers who have formally
committed to protecting our firm's personal information. By way of example and
not limited to, one may find:
- Insurance brokers or claims adjusters;
- Insurers, reinsurers and financial institutions or their regulatory bodies;
- Courts;
- The Central Auto Claims File and the Société d'assurance automobile du Québec or of another province;
- Data analysis agencies on credit, risks and claims;
- Collection agencies;
- Delivery partners;
- Internal person responsible or external partner for IT management and/or for the security of personal information and data;
- Legal consultants;
- Cloud service providers;
- Authorized payment service providers;

In order to improve the quality of services offered and the customer
experience on the GENDRON ASSURANCE website, we may use cookies and other web
analytics technologies that allow us to remember your preferences and

Retention and Destruction of Personal Information
Our firm retains your personal data in order to fulfill our mandate with you
while respecting the terms and legal obligations to which we are subject.

To ensure the security and confidentiality of personal information, GENDRON
ASSURANCE adopts rigorous security measures, including both physical and
technological aspects. Here are some concrete examples:

Although we do our utmost to protect your personal data, it should be known
that no method of transmission over the Internet or electronic storage can

Commitment of Staff and the Firm
Any employee, supplier, or partner connected to our firm is contractually
committed to respecting our privacy policy, protecting the personal
information held by GENDRON ASSURANCE, and whose use is exclusive to our firm.
This commitment exists from the entry into function of the employee, supplier,
or partner and continues indefinitely.
Data Hosting
GENDRON ASSURANCE does business with various web service providers. Some
providers may host data outside the province of Quebec or Canada. In such
circumstances, laws of other provinces and countries apply.
Accuracy of Information
Our staff strives to maintain the accuracy of the information in the client
file. It is possible to validate and update the information contained in your
file with our team of certified personnel.
Right of Access and Rectification
In the event that inaccurate information appears in the file, or if access to
personal information is required, a written request may be submitted to the
person responsible for personal information protection in order to make
corrections. In these circumstances, our firm follows the protocol provided:
- Submit a written access or rectification request
- Submit the written request to the email or physical address of the firm.
- You will receive an acknowledgment of receipt
- Your identity will be validated

Quotations
In order to establish a quote, a service offer, or an insurance contract, it
is our duty to analyze the needs of the person concerned as well as all
persons interested or mentioned in the process.
Whether the requests are by phone, in person, or online, the consent of all
persons targeted must necessarily be obtained directly.
Online Quotes (via website):
When a quote request form is submitted through the GENDRON ASSURANCE website,
the client understands, authorizes, and automatically consents that GENDRON
ASSURANCE:
- Will use their personal information in order to analyze their protection needs and produce an insurance quote for the requested product;
- Will communicate with them by phone, email, or other means to discuss their file, provide the requested quote, and if necessary discuss other services offered by GENDRON ASSURANCE;
- Will use their email address in order to respond to their request;
Email Communication / Subscription and Unsubscription Online
Following the submission of your email address to GENDRON ASSURANCE, GENDRON
ASSURANCE may send you information by email. At any time, it is possible to
confirm or withdraw your consent for the use of the email address by
unsubscribing from the distribution list in one of the following ways:
- In a mention in the message or email leading to the online unsubscription page (if applicable)
- By contacting the person responsible for personal information protection by contacting the firm at the email address indicated at the bottom of this policy.
In this way and in accordance with LCAP6[5], it is possible to stop
any unsolicited email that may have been sent by GENDRON ASSURANCE.

Telephone Recording, Chat
For reasons of information integrity, training, and quality control of
customer service, all telephone conversations are subject to being recorded or
listened to.
Electronic Communication
Just like cell phones or standard mail, communication via the Internet or
email without encryption cannot be entirely secure or confidential. These are
susceptible to being modified, lost, or intercepted. GENDRON ASSURANCE
disclaims all liability for damages that could be caused to a person in
relation with us, regardless of the form of communication.
Disclaimer - Email
Our clients sometimes send us emails containing information; we disclaim any
liability for interception, hacking, or any alterations of any email that is
transmitted to them.
Policy Changes
Privacy and protection of personal information being at the heart of our
concerns, this policy may evolve to reflect internal and/or legal changes.
